Overview And Terminology Used In Astro Reports
Astro Loyalty’s reporting suite makes life much easier. You can see your frequent buyer and rebate/discount fulfillment throughout every step of the process without opening a file cabinet.
Customer Reports pertain to the individual database entries of your customers in your location.
Fulfillment Reports
Fulfillment partners process your credits via the Astro platform in terms of “batches” This a name used throughout the Astro fulfillment process.
A batch is created by a fulfillment for each manufacturer when you have accrued new rewards. Different fulfillment partners will access and process your rewards at different frequencies. This process keeps free product from falling through the cracks and is a great way to reference credits during reconciliation.
Astro Reports are filterable by the three phases of the redemption process:
New Rewards
Batches Pending Fulfillment
Batches Fulfilled
You are able to export reports to Excel for your own tracking and use.
Summary: You create new rewards via Astro these new rewards are turned into batches pending fulfilment and batches pending fulfillment are turned into batches fulfilled.
Customer Lookup / Edit / Delete
Customer Reports pertain to the individual database entries of your customers in your location. This report lets you see purchase history, view and edit customer information, and unlink customer accounts.
Log in as an administrator.
Go to the “Reports” tab. Select “Customer Lookup / Edit / Delete”
You will be given an alphabetized list of all of the customers you have enrolled into Astro Loyalty. The “Date Linked” is the day the customer enrolled in your store.
Clicking on any one of the names will show you that individual customer’s purchase history in Astro Loyalty. You can also enter part of the name, email or phone number to search for a specific customer.
After selecting a customer, “details” will open. In the overview, this screen gives you information as to program participation and rebate and free goods earned information.
Astro Free Goods Participation
The main page of this report gives you an overview of all the frequent buyer purchases in your store. You can see how many different customers, how many cards, items sold, rewards earned and rewards redeemed.
This report primarily shows quantity of purchases in an Astro Program. It can be filtered by manufacturer and date range. Further, you can click on the quantities under cards punched, items sold, and rewards earned, to drill down into greater detail regarding each program and gauge participation.
Astro Free Goods By Redemption Date
This report details your Astro Free Goods Redemption by manufacturer, batch, and the date fulfilled by your fulfillment partner/distributor. This is especially helpful when balancing credits.
This report is filterable by Manufacturer, Distributor, Locations (if you have multiple stores) and Date.
There is one exportable report in this section.
Export Details—This report gives you redemption details. Included are Manufacturer, Fulfillment Batch, Fulfillment Partner, Location, Redeemed On date, Fulfillment date, Customer Name, Card Id, and UPC.
Astro Free Goods Fulfillment Batch Reports
As the name implies, the report pertains to your free goods fulfillment from your selected partners. It shows what rewards have been earned, whether or not your fulfillment partner has opened or credited them.
You can filter by manufacturer and distributor. It is also filterable by the three phases of the redemption process—New Rewards, Batches Pending Fulfillment, and Batches Fulfilled.
In all of the sub-screens for this section, you are able to export reports to Excel for your own tracking and use.
The exportable reports in Batches Fulfilled are the reports that you want to use to reconcile with your credit memos from your distributor.
Tip: Any of the dates that appear hyper-linked in the reports are “mouse overs.” They will give you more details about the date.
Free Goods Fulfillment Batches--New
New Rewards are the free product that you have given away in your store that have not been processed by your fulfillment partner or selected distributor yet.
With this filter applied, under Batch Description, “New Rewards” will be hyper-linked. Select the link to be taken to a report screen that shows details about the New Rewards earned for that manufacturer.
There are also two exportable reports in this section. Tip: Any of the dates that appear hyper-linked in the reports are “mouse overs.” They will give you more details about the date.
Export Transaction Detail—This report will break out every transaction for the selected manufacturer. It includes customer name, UPC, description, Quantity, and Purchase date.
Export Free Goods Detail—This report breaks out the free product you have given away. It includes reference number, Manufacturer, UPC, Description, Date Redeemed, and the Amount.
Astro Free Goods Batches--Pending Fulfillment
Batches Pending Fulfillment are those that your fulfillment partner/distributor has received and has begun processing, but have not yet been completed.
Under Batch Description, the manufacturer name and date will be shown. Select one to be taken to a more detailed view of that batch.
Selecting the program name will show all of the customer cards redeemed by your location for that program batch.
The exportable reports are:
Export Transaction Detail—This report will breakout every transaction for the selected program batch. It includes customer name, UPC, description, Quantity, and Purchase date.
Export Free Goods Detail—This report breaks out the free product you have given away for this program batch. It includes reference number, Manufacturer, UPC, Description, Dated Redeemed, and the Amount.
Astro Free Goods Fulfillment Batches--Batches Fulfilled
Batches Fulfilled are those that your fulfillment partner/distributor has received and for which they have processed credits.
Selecting this filter will show you the program batches by manufacturer. Under Batch Description, the program batch name will be displayed. Selecting it will give more specific details in regard to that batch.
Exportable reports are:

Astro Rebate/Discount Fulfillment
This report pertains to discounts and rebates under Astro Offers.
It is filterable by Manufacturer and then by New, Batches Pending Approval, Batches Pending Payment, and Batches Paid.
It allows you to see exactly where in the fulfillment process your rebates and discount re-imbursements are and which customers have participated.
Astro Program Exports
Astro Program Exports are a collection of exportable reports to help reconcile with you POS system to ensure that all of your daily transactions and redemptions have been rung into both your POS system and Astro.
Frequent Buyer & Offer Transactions
This exportable report is most commonly used to reconcile Astro with your POS system.
It is filterable by manufacturer and by date.
It allows you to see all of the items purchased for any program within a custom date range. The range can be as long or as short as you would like.
Frequent Buyer & Offer Redemptions
This exportable report is most commonly used to reconcile rewards redeemed through Astro with your POS system.
It is filterable by manufacturer and by date.
It allows you to see all of the rewards redeemed for any program within a custom date range. The range can be as long or as short as you would like.
Frequent Buyer & Offer Redemptions with Transactions
This exportable report allows you to view the qualifying purchases for each reward redemptions.
It is filterable by manufacturer, distributor, and by date.
